Royal Oak members can only enter the ballot by contacting the Royal Oak Foundation which will gather your information and submit to the National Trust on your behalf.

About the event and ballot

To say thank you for your support in helping us care for nature, beauty and history, we’re inviting National Trust supporters to enter a ballot for an invitation to attend a special summer celebration. The National Trust Anniversary Garden Party will be hosted by our President, The Prince of Wales at Buckingham Palace on Thursday 14 May 2020.

Ballot entry

Entry to the ballot is open until 3pm EST on March 4, 2020. If you are successful in receiving an invitation to the Garden Party, you will need to be available on Thursday 14 May 2020 from 3-6pm and will need to be able to make your own way to the event.

Event registration

Successful applicants, who are drawn as a winner to receive an invitation to attend will be notified and will then be given a window in which they will need to register to confirm their attendance at the event. The deadline for registration will be confirmed by email.

Summary of key terms

(a) You must be one of the following and 16 years of age or older on May 14, 2020 to enter the ballot:

  • Member of the National Trust or of the Royal Oak Foundation
  • Volunteer with the National Trust or the Royal Oak Foundation
  • Member of staff for the National Trust or the Royal Oak Foundation

(b) Entry for the ballot is by emailing Jan Lizza at jlizza@royal-oak.org

(c) Strictly one entry per person is permitted

(d) Entry into the ballot does not automatically entitle applicants to attend, but to a place in the draw to win an invitation to attend

(e) Any duplicate entries will be removed from the draw

(f) The ballot closes on Tuesday, March 4 2020 at 3pm EST

(g) The ballot will be drawn on Tuesday, March 10, 2020

(h) 3,720 winners will be drawn at random

(i) Winners will be notified by the email address supplied in their entry except for entrants without an email address, in which case they will be notified by telephone and will be asked to confirm their attendance within a given timeframe through a formal registration.

(j) Anyone who is notified as a winner of an invitation and doesn’t register within the given timeframe will forfeit their place.

Definitions

  • ‘National Trust Anniversary Garden Party ballot’ (‘the ballot’), means the ballot that is operated by National Trust (The National Trust for Places of Historic Interest or Natural Beauty) Registered Charity no. 205846
  • ‘National Trust Anniversary Garden Party (‘The Event’) means the Garden Party at Buckingham Palace on Thursday 14 May 2020
  • ‘Closing Date’ means 3pm EST on March 4, 2020
  • ‘Draw’ means the draw for the invitation to attend the event
  • ‘National Trust’ means The National Trust for Places of Historic Interest or National Beauty
  • ‘Admittance card’ means the card you will receive if you are successful in securing an invitation to attend the Anniversary Garden Party and following completion of your formal registration
  • ‘Member’ means a member of the National Trust or Royal Oak with a valid membership number
  • ‘Volunteer’ means a current, active volunteer on the National Trust or Royal Oak volunteering database
  • ‘Staff’ means any individual directly employed by the Trust or Royal Oak via a contract of employment

Eligibility

(1) To be eligible to enter the ballot, a person must:

(a) be 16 years of age or over on 14 May 2020 and

  • be a member of the National Trust or Royal Oak Foundation, at the time of entry or
  • be a National Trust or Royal Oak Foundation volunteer at the time of entry or
  • be a member of staff at the time of entry

(b) not be an employee of Woods Group Limited or Eventbrite Limited; and

(c) comply with these terms and conditions

Entry

(2) Registration for the members’ ballot by emailing Jan Lizza at jlizza@royal-oak.org or by calling 212-480-2889, ext. 205

(3) Entrants will need to provide the following information to enter:

(a) Members – their membership number, First name, Surname, and a valid email address

(b) Volunteers –their First name, Surname, post code, Region, and a valid email address which matches the email on their volunteer record

(c) Staff – their employee number, First name, Surname, Region and valid Royal Oak email address

(4) It is the responsibility of the entrant to enter the correct details.

(5) The personal data supplied in the entry will only be used in order to contact winners with the outcome of the draw and to verify that they are a National Trust member, volunteer, or member of staff and will not be processed in any other way.

(7) If you do not have access to an email address you need to contact Royal Oak by calling 212-480-2889, ext. 205  and an entry can be made on your behalf. You must provide a telephone number to be contacted on if you are drawn as a winner.

(8) Strictly one entry is permitted for every National Trust or Royal Oak member, volunteer or member of staff.

(9) If you fall into more than one category e.g. you are a member as well as a volunteer or a member as well as a member of staff, then you can only enter for one category.

(10) Any duplicate entries will be removed from the draw.

(11) Entry into the ballot is free.

(12) Entry into the ballot does not automatically entitle applicants to attend the event, but to a place in the draw to win an invitation to attend.

Closing date

(13) The Closing Date for the ballot is March 4, 2020 at 3 pm EST.

(14) Entries received after 3 p.m. EST on March 4, 2020 will not be entered into the ballot.

The draw

(15) The draw will take place on Tuesday, March 10, 2020 at The Woods Group Limited, Bumpers Way, Chippenham, Wiltshire SN14 6NG.

(16) 2,000 National Trust members and Royal Oak members will be chosen at random and will win an invitation to attend the event for themselves plus one guest.

(17) 950 National Trust volunteers and Royal Oak volunteers will be chosen at random and will win an invitation to attend the event for themselves plus one guest.

(18) 770 National Trust members of staff and Royal Oak staff will be chosen at random and will win an invitation to attend the event for themselves only.

(19) The result of the draw is final.

(20) Members will be identified using name and membership number.

(21) Volunteers will be identified using their First name, Surname, email address and post code against their your volunteering database record.

(22) Staff will be identified using their employee number, First name, Surname, Region and valid National Trust email address.

Winners

(23) All winners will be notified by email except for entrants without an email address, in which case they will be notified by telephone.

(24) The email address or telephone number used for entry will be used to contact the winners.

(25) All prizes are non-transferable, and no alternatives will be provided.

Claiming your invitation

(26) Winners will be invited by email with a link to confirm their attendance of the event.

(27) Winners will be asked to provide the following details for themselves and their guest:

(a) Title

(b) Forename

(c) Middle name(s) if applicable

(d) Surname

(e) Home postal address

(f) Dietary requirements

The above information will be used to verify eligibility and to send the invitation. Dietary requirements will be used on the day of the event and will not be stored by the National Trust after this event.

(28) Failure to provide the above information will mean entry is forfeited.

(29) Winners must be over the age of 16 on the date of the event (14 May 2020). Anyone successful in securing a place who is aged 16 or 17 at the time of the event must be accompanied by a guest who 18 years old or over.

(30) A person shall not be eligible to receive a prize if they do not satisfy the eligibility criteria (Clause 1).

Unregistered winners

(31) Anyone who is notified as a winner and doesn’t register within the given timeframe will forfeit their place.

The event

(32) The event will take place at Buckingham Palace on Thursday 14 May 2020 from 3pm-6pm.

(33) Entry to Buckingham Palace requires an admittance card which will be sent by post to the registered winners.

(34) The admittance card is for the registered member, volunteer or staff member only. The cards are strictly non-transferable and must not be sold, transferred or advertised for sale or transfer whether on the internet, in newspapers or elsewhere. Any admittance cards which are transferred, advertised or offered for sale or transfer will be void.

(35) Identification and Security:

(a) All attendees may be subject to search by police on arrival

(b) All attendees will need to bring a MINIMUM OF TWO types of identification to the event, in additional to the admittance card in clause 33 to be permitted entry, which between them will confirm their:

  • FULL NAME (e.g. driving licence, birth certificate or passport)
  • DATE OF BIRTH (e.g. driving licence, birth certificate or passport)
  • CURRENT ADDRESS (e.g. driving licence, utility bill or bank statement)

One of these forms of identification must be photographic. The following forms of identification will be accepted:

  • Passport
  • Driving Licence
  • EU Identity Card
  • Armed Forces Identity Card

(36) Attendees are responsible for their own transport to the event
